AI Policy
What is the role of AI in making email a force for good?
These are our principles for how we use AI internally, and what we offer to our customers.
AI is changing the way we all work.
But it's also a huge contributor to energy usage, water consumption, and carbon emissions.
AI can enable us to achieve tasks that would otherwise be impossible.
But it's the most uncertain technology of our time, with unspeakbly large ethical, moral, and environmental implications.
It's likely that you're looking at EcoSend because you share our feelings about the planet, about craft, and about privacy.
We have deliberately avoided shipping unnecessary AI features and have resisted the industry-wide push to add "AI" to everything.
However, we know that there are some areas where AI can help us build the best product possible for you and your business.
Our goal is to make email a force for good — so does AI fit into that… at all?
AI features currently available to you
We currently offer two features that use AI.
Subject Line Generator
We currently offer a free tool, our Subject Line Generator, which uses OpenAI's GPT 3.5 model.
This tool is offered separately to the EcoSend application, and is not part of our core product.
We estimate the emissions from the usage of this tool and contribute to our climate partners (TreeNation, TreeApp, and PlayItGreen) to account for these.
We have plans to switch our Subject Line Generator from its current model to one powered by renewable energy to address the climate concerns we share. Unfortunately when we originally created this tool, there were no alternatives.
Message Composition
Our current drag & drop email builder is one of the few parts of our platform where we rely on a third party. This provider has chosen to introduce a limited set of AI features that are available to all customers.
These features are in our product, but we are exploring a range of improvements to address concerns here.
Where we use AI to benefit you
- Feature development: To accelerate our development process and help us build the best product possible for you and your business.
- Fraud and spam detection: To help detect abuse, spam, or technical issues in line with our Terms and acceptable use.
- Support and operations: To help our team respond faster, draft replies, or organise information — always with a human in the loop.
Our promise to you
We exist to make email a force for good. We will do everything we can to leave this planet better than how we found it.
There will always be areas where we are proud and some where we need to do some work. We are a work in progress and we will not stop listening, improving, and sharing our progress with you.
We will not roll out new AI functionality in EcoSend without deep consideration for the environment, privacy, and ethical impact it brings.
We will work closely with you and listen intently to what you need from us, so that we can build the best product possible.
We will not compromise our core values to race towards filling out a feature checkbox.
What we don't do
We do not:
- Use your personal data or the content of your emails and campaigns to train third-party or our own general-purpose AI models.
- Rely on AI alone to make final decisions on account suspension, termination, or other outcomes that materially affect your use of EcoSend. These always involve human review.
- Sell or share your data with third parties. For the avoidance of doubt, this includes AI model providers for model training.
Your choices and rights
By default, you can confidently use EcoSend without interacting with AI at all. Our AI features are transparently marked and can easily be avoided based on your own preferences.
Your existing rights over your data (including access, correction, and deletion) under our Privacy Policy and applicable law are unchanged by our use of AI.
Other notes
When browsing our site, you may notice our LLMs.txt file. This is a file that helps search engines and AI tools understand what EcoSend is about, and is used by AI to better understand our content.
Updates and contact
We will update this AI policy from time to time to reflect changes in our practices.
If you have questions about how we use AI or this policy, please contact us.
