Send activity to other tools with webhooks

Webhooks let EcoSend tell your other tools when something happens, as it happens.

When a contact opens an email, clicks a link, or joins a Smart Group, EcoSend sends a request to a URL you choose with details of what happened and which contact did it. That URL could belong to your CRM, an internal system, or any other tool that can receive webhooks, which can then take action for you.

Webhooks live in the Notifications area of EcoSend.

What can trigger a webhook?

Email activity

These triggers fire for every email you send from your project, whether it's a Broadcast or part of an Automation.

TriggerFires when…
Email sentEcoSend sends an email to a contact
Email deliveredThe contact's email provider accepts the email
Email openedThe contact opens the email
Email link clickedThe contact clicks a link in the email
Email bouncedThe email can't be delivered (see understanding bounces)
Email marked as spamThe contact reports the email as spam

Smart Group activity

  • Contact enters Smart Group: fires when a contact starts matching a Smart Group's filters.
  • Contact exits Smart Group: fires when a contact stops matching them.

Smart Group triggers can also notify you by email or Slack, as well as by webhook. Email activity triggers can only be sent to a webhook.

Set up a webhook

1. Add your webhook URL

First, add the URL that should receive the webhook. You'll find this in the tool you want to connect: it might be called a "webhook URL" or "endpoint".

  1. Go to Current Project Settings > Integrations and choose Webhook.
  2. Enter the URL under Webhook URL.
  3. Give the webhook a Name so you can recognise it later, such as "CRM – bounces".
  4. Save the webhook.

You can add as many webhooks as you need, for example one for your CRM and another for your data warehouse.

2. Choose what triggers it

  1. Go to Current Project Settings > Notifications.
  2. Click Add new Notification….
  3. Under When this happens, choose your trigger, such as Email link clicked. For Smart Group triggers, you'll also choose which Smart Group to watch.
  4. Under Then notify, click Add a Service… and choose the webhook you added in step 1.
  5. Click Add notification.

That's it. From now on, EcoSend will send a request to your URL every time the trigger happens.

Each trigger can only be set up once, but you can send it to several webhooks. If you try to add a trigger that already exists, EcoSend will offer to let you edit the existing one instead.

Things to know

  • Email activity triggers cover every email in your project. If you only care about a particular Broadcast or link, filter the incoming data in the tool receiving the webhook.
  • Email opens, clicks, and deliveries can add up to a lot of requests. Make sure the tool you're connecting can handle the volume, especially if it charges per task or request.
  • Before building anything that relies on a webhook, send it to a test URL first so you can see exactly what EcoSend sends. A free request inspector, such as webhook.site, will show you each request as it arrives.

Ideas for using webhooks

Alert your team about hot leads

When a contact clicks your pricing page, demo booking, or "get in touch" link, post a message in your sales team's chat tool, or bump the contact's lead score in your CRM.

Keep your CRM clean

When an email bounces, update the contact in your CRM so the bad address is fixed or removed everywhere, not just in EcoSend. Bounces you ignore can damage your sender reputation over time.

Build your own reporting

Log every open and click in a Google Sheet, Airtable base, or data warehouse. You can then combine your email engagement with sales or website data to see which content brings in the most interest over time. For quick answers, the Insights dashboard already covers the essentials.

Hand off from EcoSend to your other tools

When a contact joins a Smart Group, such as "Attended a webinar" or "Downloaded the guide", create a task in your project management tool or add them to a follow-up list in your CRM.

Stop or change a webhook

To change what a notification sends to, go to Current Project Settings > Notifications and click Edit next to it. From there you can add or remove webhooks under Then notify.

To stop a webhook entirely, remove the notification, or remove the webhook from Current Project Settings > Integrations.
